1. Scope
This policy explains how Book With Ryan collects and uses information when you access the Service. The organization that invites you to the Service may have additional policies governing its employees and business records.
2. Information we process
We process account information such as name, email address, role, store or organization assignment, and profile image. We also process organization-provided operational information such as employee rosters, report uploads, performance metrics, pay-plan settings, coaching records, messages, and support requests. If you enable notifications, we process browser push-subscription data and notification preferences. On the public website we collect waitlist and booking details you submit (name, email, and phone) so we can reach you and manage appointments.
3. How we use information
We use information to authenticate users, operate and secure the Service, present organization-scoped dashboards, provide support, send requested product notifications, and maintain or improve the Service. We do not sell personal information or use customer business data for unrelated advertising.
4. Service providers
We use service providers to operate the Service, including Firebase for authentication and data storage, Vercel for hosting, Resend for transactional email, and OpenRouter when an authorized user submits a report photo or PDF for extraction. These providers process information only as needed to provide their services to us.
5. Cookies and local storage
The Service uses browser storage and essential session technology to keep you signed in, remember selected store or display preferences, and support notification features. We do not use the Service for third-party behavioral advertising.
6. Sharing and access
Information is made available only to authorized users within the applicable organization or store, subject to their role and permissions. We may disclose information when required by law, to protect the Service and its users, or as part of a business transaction involving the Service.
7. Retention and security
We retain information for as long as needed to provide the Service, meet legal obligations, resolve disputes, and enforce agreements. We use technical and organizational measures designed to protect data, but no internet service can guarantee absolute security.
8. Your choices
Contact your organization administrator to correct or remove organization-managed account information. You can change browser notification permissions in your device or browser settings. For privacy questions or requests, email ryan@bookwithryan.co.
9. Changes to this policy
We may update this policy as the Service changes. We will post the updated policy here and revise the “Last updated” date.
